Capability 04

Registration, Access & Event Data

Guest-facing technology selected and configured around registration, communication, check-in, engagement and reporting needs.

Discuss this workstream

The role of this capability

Clear responsibility while the wider programme keeps moving.

Event technology should make it easier to invite, inform and receive people—not add another layer of administration. We choose and configure the registration, access and reporting tools around the actual guest journey, the client’s systems and the information the programme genuinely needs.

What we manage

The practical work inside the scope.

The final responsibility list is agreed against the brief. These are the areas most commonly placed with Voya Circle.

01

Registration journey

Forms, invitations, confirmations and reminders are shaped around audience categories, approval rules and the questions guests can reasonably answer.

02

Data preparation

Guest records are checked, categorised and prepared for travel, rooms, access, communications and reporting.

03

Check-in and badging

Arrival flows, badge rules, devices, printers, staffing and exception handling are planned and tested together.

04

Agenda and communication

Guests receive the relevant programme, joining information and changes through the agreed email, web or mobile channel.

05

Meetings and lead capture

Hosted-buyer appointments, session attendance or lead records are configured only where there is a clear owner and use for the information.

06

Data handover

Final exports, ownership, retention and deletion expectations are agreed before launch and followed at close-out.

How the work runs

A working rhythm the client and delivery team can follow.

  1. 01
    Map

    Draw the guest journey first

We identify audience groups, approvals, communications, arrival routes and reporting needs before recommending a tool.

  2. 02
    Configure

Set up only what the programme needs

Fields, rules, templates, permissions and integrations are kept purposeful and understandable.

  3. 03
    Test

    Test normal and exception journeys

The team checks invitations, approvals, confirmations, check-in, badges and the staffed route for anything that does not scan cleanly.

  4. 04
    Close

    Return clean, agreed records

We reconcile attendance and provide the agreed exports and reports through the approved handover route.

Working standards

What you can expect from us.

Collect with purpose

Every requested field should have a clear operational, reporting or compliance reason.

Permissions agreed

Access to guest and programme information is limited to the roles that need it.

Exceptions are staffed

Technology is supported by people who can resolve missing records, changed guests and access questions.

Handover defined early

Ownership, export format and retention expectations are agreed before data begins to arrive.
