Dates are relative to the event. Anything that has slipped past its marker here is not automatically lost, but it is no longer free — and the honest conversation is better had now than in the final fortnight.
The principles

Property before destination
A separate meeting wing, controllable access, a short transfer and no competing group in the building. That set of conditions rules out most hotels in most cities.
Arrivals planned by name
Executives arrive on different flights across a wide window. Car, greeter, room ready and a briefing note waiting — planned individually, not run as a group transfer.
Leave gaps in the agenda
The useful conversations at an offsite happen between the sessions. An agenda with no space in it produces a full day and a thin outcome.
Discretion is operational
No public signage, no delegate list on a lectern, staff briefed on names and on not using them in front of others, materials collected rather than left in the room.
