A twelve-country advisory programme that passed audit

A series of advisory boards where the compliance record, not the logistics, was the deliverable.

The brief

A pharmaceutical client ran advisory boards across twelve markets through different local agencies. Hospitality standards varied, faculty contracting was inconsistent and transfer-of-value data was reconstructed from invoices each quarter.

What was going wrong

  • Twelve local agencies applying twelve interpretations of the code
  • Consolidated invoices that could not be tested against caps
  • Faculty contracts issued inconsistently and late
  • Transfer-of-value data assembled retrospectively

What we did

Four changes that mattered.

01

One operating standard, local delivery

A single written specification for venue standard, hospitality caps, travel class and documentation, delivered by vetted local partners under one programme lead.

02

Faculty contracting as a workflow

Contracts, fair market value assessment, scope of work and tax treatment handled as a pipeline with documentation attached to each engagement.

03

Capture at source

Travel, accommodation, catering and honoraria recorded per healthcare professional as they occurred, in the local disclosure format.

04

Itemised by cost head

Every meeting invoiced split by accommodation, meals, travel, faculty and venue so each could be tested against its cap independently.

Outcome

What happened

01All twelve markets delivered to one documented standardResult
02Transfer-of-value data complete at the close of each meetingResult
03Faculty contracts issued before travel in every caseResult
04Internal compliance audit passed with no findings on event documentationResult

Carry-forward

What we took into the next one

Compliance decides the shortlist, so it belongs at the brief

Capturing at source removes the quarterly reconstruction entirely

A single written standard travels better than twelve conversations

Something of this shape, for your programme.

Every one of these started as three lines in an email. Send the format, the headcount and the month, and you will get back what it takes to run it and roughly what it costs.
